Terms and Conditions

Student Travel DeskTerms and Conditions

This document combines best-practice clauses drawn from common UK tour-operator terms into a single, comprehensive template. Replace all bracketed [placeholders] with details specific to your business, and have it reviewed by a qualified solicitor before publishing or relying on it — this is a template, not legal advice.

These Terms & Conditions (“Terms”) govern all bookings, tours, and services provided by [Company Name] (“we”, “us”, “our”). By booking, purchasing a ticket for, or otherwise participating in a tour or trip with us, you confirm that you have read, understood, and agree to be bound by these Terms.

1. Booking & Confirmation

•       All bookings are subject to availability.
•       Bookings may be made directly with us or through our official booking platform [e.g. Eventbrite] or other channels we specify.
•       A booking is confirmed only once full payment has been received and acknowledged, and you have received a confirmation email or e-ticket.
•       Confirmation details, itineraries, and trip instructions will be sent via our official communication channels (e.g. email, WhatsApp) — please check these regularly before departure.
•       Tickets and bookings are non-transferable unless we agree otherwise in writing.

2. Eligibility to Book
•       The person making a booking must be 18 years of age or older
.•       If you book on behalf of other travellers, you confirm that all participants have read, understood, and accepted these Terms & Conditions.

3. Prices & Payment
•       Prices are quoted per person in Pound Sterling (GBP) unless stated otherwise.
•       Full payment is required at the time of booking unless alternative payment terms are agreed with us in writing.
•       Prices may change due to operational costs, fuel costs, currency fluctuations, taxes, or government charges. Any price increase will only apply to bookings made after the change takes effect, or where required by law.
•       Accepted payment methods will be communicated to you at the time of booking.

4. What's Included
•       Inclusions for each tour are set out clearly on the tour page, itinerary, or booking confirmation.
•       Anything not expressly listed as included is excluded. This includes (without limitation) entrance fees to attractions, optional activities, food, drinks, gratuities, and other personal expenses, unless specifically stated.
•       We are not responsible for assumptions you make about what is or is not included — if in doubt, please ask before booking.

5. Departure, Pick-Up, Drop-Off & Punctuality
•       Departure dates, times, and pick-up/drop-off points will be confirmed before departure and are subject to change due to traffic, weather, road closures, or other operational reasons.
•       Guests must arrive at the designated pick-up point at least 30 minutes before the scheduled departure time.
•       We cannot delay departure for late arrivals. Missed pick-ups and departures caused by late arrival are non-refundable and are the guest's responsibility.
•       Return times and drop-off locations may vary depending on traffic or operational requirements.

6. Itinerary & Tour Changes
•       We reserve the right to alter routes, itineraries, vehicles, accommodation, or destinations where reasonably necessary due to weather, traffic, safety, government regulations, or other operational or unforeseen circumstances.
•       Such changes do not entitle you to a refund or compensation, unless a significant part of the tour is cancelled as a result.

7. Cancellation or Changes by Us
•       We may cancel a tour where minimum participant numbers are not met, or due to safety concerns, operational issues, government restrictions, adverse weather, vehicle breakdown, or other circumstances beyond our reasonable control.
•       If we cancel a tour, you will be offered a full refund or an alternative date.
•       If a vehicle breakdown means a tour cannot continue, you will receive a full or pro-rated refund for the affected portion of the trip.
•       No additional compensation is payable beyond the refund described in this section.

8. Your Cancellation RightsPlease check the specific cancellation policy shown for your tour at the time of booking. As a general policy:
•       Day Tours: bookings are generally final and non-refundable.
•       Overnight, Multi-Day, International & Custom/Special Tours: cancellations made [14] days or more before departure are eligible for a [75]% refund of the amount paid; cancellations made within [14] days of departure are non-refundable.
•       Where a shorter-notice policy applies instead, cancellations made [72] hours or more before departure may be eligible for a refund (excluding any booking or processing fees); cancellations within [72] hours of departure are non-refundable.
•       No refunds are given for no-shows, late arrivals, or missed departures.
•       Cancellation notice periods are calculated from the scheduled departure date and time.
•       Your booking is governed by the cancellation policy in effect at the time you booked, even if we update this policy afterwards.

9. Refunds
•       Approved refunds will be paid to your original payment method, or to a bank account you provide where required.
•       Refunds are normally processed within 7–14 working days (excluding weekends and public holidays) of approval, once any required information or documents have been verified.

10. Walking Tours, Physical Activity & Medical Fitness
•       Some tours involve walking, trekking, or uneven terrain.

•       Appropriate footwear and clothing are strongly recommended.11. Special Requirements & Accessibility
•       Please tell us at the time of booking about any medical conditions, disabilities, or special requirements.

•       Pets are not allowed, except registered assistance dogs (prior notice required).

13. Behaviour, Safety & Removal from a Tour
•       All guests must follow instructions given by guides, drivers, and local authorities, and must behave responsibly and respectfully throughout the trip.
•       We may refuse service to, or remove from a tour, any guest whose behaviour is unsafe, disruptive, offensive, or in breach of these Terms — including misuse of prohibited substances or harassment of staff or other guests.
•       No refund will be given where a guest is removed for these reasons.

14. Children & Guardianship
•       Children must be accompanied by a responsible adult throughout the trip.
•       Parents or legal guardians are fully responsible for the supervision, safety, and behaviour of any children in their care.

16. Food Allergies & Dietary Requirements

•       Meals provided during tours may be arranged through third-party restaurants or caterers.
•       If you have food allergies, intolerances, or dietary requirements, you must inform us and/or restaurant staff before consuming any food.

17. Luggage & Personal Belongings

21. Liability, Accidents & Loss
•       Participation in our tours and activities is at your own risk.
•       Our liability is limited to the cost of the affected tour, except where this cannot legally be excluded.
•       We are not liable for injury, illness, loss of life, delay, or damages arising from your own actions or negligence, the actions of third parties, weather or environmental conditions, or other circumstances beyond our reasonable control.
•       Nothing in these Terms excludes or limits liability for death or personal injury caused by our proven negligence, where such liability cannot be excluded by law.

22. Force Majeure

• We are not liable for cancellations, delays, or disruptions caused by events beyond our reasonable control, including natural disasters, severe weather, pandemics or health emergencies, government restrictions, strikes or civil disturbance, and other acts of God.
